Retail - Database Management

We have worked with a fast-growing fashion retailer for over three years to build and develop their database from 12,000 to now approaching 90,000 valid addresses. A rudimentary system was in operation at the client's head office with sporadic updates as staff resources became available.

Document Despatch now hold the live database and operate a full maintenance service. Database cards are completed at the stores and sent to us for datacapture.

These are checked at the point of entry for duplicate records and valid postcodes. All postal returns, goneaways and change of address requests come directly to Document Despatch for updating. This on-going process has proved to be very successful, with a cleaning exercise yielding under 500 goneaway or deceased contacts. In addition, the data is ACORN coded for further segmentation and analysis.

The client has also launched a website, where an individual can submit their details. As with store-generated details, all entries are checked against the existing database before entry.
Selections are extracted from the database to produce localised mailings to each store's catchment area (over 40 stores in total). These promote previews, sales and other special events. Formats vary from polywrapped mini-catalogues to laser printed. folded and tabbed one-piece mailers.

Overall, the client has acquired an up-to-date resource that not only allows easy catchment-based targeting, but provides detailed profile information on customers.

Consumer Products - Order Fulfilment

Document Despatch work with a UK leader in dietary supplement products to manage the fulfilment of web-based orders.

Document Despatch complete a daily download of customer orders from an integrated system, pick and pack the required products to the highest degree of accuracy, and despatch via courier to UK and overseas addresses on a daily basis.

Customer stock is closely monitored and controlled in our on-site warehouse using our management system.

The continued success of our customer has resulted in the printing and mailing of product awareness campaigns.  Document Despatch also assemble sample packs that are distributed in bulk to high street retailers.

Leisure - brochure mailings

Using high speed polywrap and envelope enclosing machines, Document Despatch manage the mailing of theatre and travel brochures for many customers within the leisure industry. 

Our polywrap equipment can enclose items up to 35mm in thickness, therefore is ideally suited to heavy travel brochures. 

If a brochure is to be enclosed into plain polythene or envelopes we recommend that the carrier sheet or envelope is utilised to incorporate information on forthcoming productions, including logo's, dates etc. 

If a brochure is to be enclosed into printed polythene we will work with you so that your branding and brochure design can be included within the polythene design.  This gives a highly professional finished mail piece.

As our customers within the leisure sector are generally in regular contact with their customers, we generally find that the quality of their data is high.  However as the recipients are generally consumer rather than business we will recommend that data is de-duplicated against the National Change of Address file and Bereavement Register. 

The Royal Mail Walksort service can usually be utilised for mailings such as these, as the recipients are usually within close proximity.

Charities

Document Despatch work with several leading charities in the mailing of appeal campaigns.  We find that most charity mailings include more than one personalised item - i.e. a letter and a donation form.  Our on-line matching, folding and enclosing equipment ensures quality assurance and efficient turnaround.  Document Despatch will always aim to provide highly competitive costs to the charity sector.
